Adding someone as a Collaborator on a piece of content lets them edit it without giving them admin access. They see the same content editor an admin uses, but their changes save into a pending state instead of publishing — an admin has to approve the edit before learners see it.
Add a Collaborator to a piece of content
- Open the content item (Article, Video, File, and so on), click the three-dot or gear icon, and select Edit.
- Go to the Settings tab.
- Turn on Enable Collaborators.
- Use the Search Collaborators field to add the user.
- Save or publish your own changes as usual.
Collaborator access is set on the individual content item, not on a Track as a whole. A Track is a collection of items, so to let someone maintain everything inside one, add them as a Collaborator on each item they should be able to edit — there’s no single toggle that covers an entire Track at once.
What a Collaborator sees
Once added, the Collaborator sees the same gear icon on that content’s page that an admin sees, with Edit and See Analytics options. Selecting Edit opens the same multi-step editor an admin uses — the content itself, Audience Segmentation, and general Settings.
Two things are missing from their view that an admin has: they can’t see or manage the Enable Collaborators list (only an admin can add or remove other Collaborators), and the primary action button reads Save instead of Publish Changes, on every tab of the editor.
What happens when a Collaborator saves
Clicking Save shows a confirmation: “Your changes will be saved and an admin will need to approve them before they are visible to users.” The edit doesn’t go live on its own — learners keep seeing the last published version until an admin reviews and approves the pending change.
This is the difference between a Collaborator and a Creator. A Creator can publish directly, with no approval step. A Collaborator can edit and contribute, but every change routes through an admin first.
